Transactions


When all the necessary steps are made, please find some examples of how to effect transactions.


30$ cash payment for a new shirt.

Each transaction corresponds to at least one of the accounts. In the giving example we'll use cash account "My Cash" and start from the transactions ledger for the account

1.      Move to the "Account" window by clicking the "Account" bookmark (only for HPC).

2.      Use the pen to click a drop-down account list and select My Cash account from the list.

 For HPC For Pocket PC

3. The screen shows transaction ledger for "My Cash" account. 

In the right you can see "Balance: 100.00$". This is your initial (opening) balance, i.e. an amount you entered while creating the account "My Cash"

4. On having pressed the "New Transaction" button located on the right side of the screen, you'll be automatically moved to an empty line (described as <_New_Transaction_>) in the transaction list. 

The cursor will be set in the "Transaction properties" dialog box in the "_New_Transaction_" field. 

Enter "New Shirt" as description instead of "_New_Transaction_".

4. On having pressed the "New Transaction" button located on the right bottom (top center for PsPC) side of the screen, you'll be automatically moved to an empty line (described as <_New_Transaction_>) in the transaction list. 

The cursor will be set in the "Transaction properties" dialog box in the "_New_Transaction_" field. 

Enter "New Shirt" as description instead of "_New_Transaction_".

5. On having finished transaction description, press the Tab Key. 

Thus, you'll be moved to the Amount field. Enter 30 (Cost of the Shirt).

Note:    On the right of Amount field USD is stated and this means that the transaction will be effected in USD. You can't change it as you deal with My Cash Account kept in USD. Further to the right transaction type is indicated (Deposit or Payment). Payment is selected by default. There's no need to change this as you're spending your money.

5.      On having finished transaction description, go to Amount field.

Thus, you'll be moved to Amount field. Enter 30 (Cost of the Shirt).

Note:    On the right of Amount field USD is stated and this means that the transaction will be effected in USD.

6.   Press twice the Tab Key or using the pen press an empty field on the right of "Cat/[Tran]" (Category/Transfer). A category must be entered in the field. Enter Clothing

Note:    it's enough to enter letters cl and the program will write down an appropriate name of the category. If you don't remember the exact name of the category, press the button and select from the list.

6.      Press with the pen en empty place to the right of «Category». A name for the category should be entered into the field. Enter Cloth.

Note:    it's enough to enter letters "cl", and the program will write down an appropriate name of the category. If you don't remember the exact name of the category, press the button to the right of the category and select it from the list.

7.  Press OK to finish editing the transaction. You'll see modified transaction ledger of "My Cash" account. Your balance is reduced to 70$.

Note:    there are some ways of switching between accounts. For instance, press "1" and you will move to the first account in the list - this is "WestPack" account. Press "2" and you'll move to the next account - this is "My Cash" account and so on. 

If you don't have the pen on hands, a New Transaction can be created by pressing "N" (New) Key. This is instead of the New Transaction Button.

 


Receiving cheque $2000 (Salary)

Now you can get (in our imaginary world!) your monthly wage using a cheque.

For HPC For Pocket PC и PsPC

1. Move to the "WestPack" Account.

2. Press the "New Transaction" Button

2. Press the "New" Button

3. Enter "Salary (February)" as a transaction name.

Note:    all the transactions are of the current date but the transaction date can be changed at any time if necessary.

4.  In the "Amount" Field enter "2000" and set Deposit as transaction type. Enter "Salary" in the "Can/[Tran]" Field (note that you need just to enter "s" and the program will automatically write the rest).

4. In the "Amount" Field enter "2000". Enter "Salary" in the "Category" Field (note that you need just to enter "s" and the program will automatically write the rest).

5. Press “OK” to confirm the transaction.

On having pressed the «OK» button you'll see a message about creation of a new project «My Work» as there were no projects named like that.
Press «Yes» to confirm creation of the project. On the screen you can see the renewed Transaction Ledger for the current account “WestPack” with a balance of 3500$:

 


Transferring 500$ from the “WestPack” account to the “My Cash” account.

Two accounts are involved in the transaction and you can enter the transaction in any of account ledgers.

For HPC For Pocket PC or PsPC

1.      Select the “WestPack” account. Transferring money from this account seems to be the most obvious case.

2.      Press the “New transaction” button to create a new transaction.

2.      Press the button New to create a new transaction.

3.      Enter “Some extra money ” as the name of the payment. 

Enter 500 into the “Amount” field and Payment as a type of transaction. Then press the button  , select [My Cash] (you can find it in "[Transfers]") in the coming dialog box "Select Category or [Transfer]" and press "OK".

Enter -500 в into the "Amount" field. Then press the button or  that is opposite the "Category" field select [My Cash] (you can find it in "[Transfers]") in the coming dialog box "Select Category or [Transfer]" and press "OK"

4.      Press “OK

Now money are transferred from the “WestPack” account into the My Cash” account. To get sure, switch to the “My Cash” account and you'll find the same transaction but with the opposite sign. In the given example the amount of the transaction is 500.

Note:    As you've probably noticed the transfer "Some extra money" is marked with ” in the transaction ledger. The letter "T" shows that this is a transfer from or to another account.

 


Paying the dinner by your VISA

1. Move to the "VISA" account and enter a new transaction.

2. Enter "Dinner" as the name of the transaction with an amount of 30 DM in the "Dinner" category and press "OK".

3. Transaction Ledger of the VISA Account indicates expense of 30 DM and Visa Card Balance is 70 DM.

4.Error! Actually, you have paid 50 DM for the dinner. Click twice Dinner Transaction with the pen (or Enter Key). Replace 30 DM with 50 DM in the Amount Field. Then press OK. The Transaction is successfully corrected as you can see in the Transaction Ledger. The Balance is 50 DM.


Paying the dinner by your VISA (only for Pocket PC)

Let us suppose that you are on business trip in USA.

1. Move to the VISA account and enter a new transaction.

2. Enter "Restaurant" as a name of the transaction with an amount of 30 USD in the "Dinner" category and press "OK".

3. The account of your VISA card is kept in German Marks (DEM). 
But you've just entered the amount of 30 USD and Cash Organizer will offer you to convert the money into German Marks. You should enter an exchange rate: 1 USD = 2.16977 DEM.

Press "OK".

Note: The set exchange rate will be saved so you can use it in future until you change the rate again.

3. The Transaction Ledger of the VISA account indicates expense of 30 DM and Visa Balance is -15,09 DM.

Note: The figure of 30$ indicated in the Transaction ledger is given only for information. In fact, the amount of the "Restaurant" is 65,09 DEM and this figure will appear in all the reports. To verify this, click twice the "Restaurant" transaction to move to the Transaction's Properties. You will find out that the amount of the transaction is 65,09 DEM.
